Josh Needham does this full time, and it shows in how little you have to think about on the day. He's well presented, and the music runs from the start of your event through to the end, in sets placed wherever they make sense. Between those sets he'll organise backing music so the room never falls silent. In most cases a PA comes with him too.
He'd rather be early than cutting it fine. For a wedding that means arriving about two hours before things start, which leaves room for setup, a sound check and any last minute changes. Corporate events are usually about ninety minutes ahead, though it shifts depending on whether there's a house PA and how easy the parking and load-in are.
